Confirm that the form actually accepts the submission
Choose one affected form and record its page, form identifier, expected recipient and test time with timezone. Use synthetic content that is recognizable but contains no real customer data. Check validation, CAPTCHA or anti-spam handling and the application response. A front-end success animation can exist even when a later processing step fails.
If the form stores submissions, inspect the authorized record for that test. Some forms do not store entries, so an absent dashboard record is not automatically a failure; confirm the configured behavior. Avoid repeated real submissions that create duplicate CRM contacts, tickets or customer messages. The test plan should account for those effects before it runs.
Find the first missing stage in the notification route
Separate form acceptance from notification generation and transport. Check whether the notification is enabled, whether conditional rules select it and which recipient configuration applies. Then inspect the configured transport or provider evidence for the test. A website can accept the enquiry while failing to create the intended notification.
WordPress documents that a successful wp_mail return means the chosen method processed its request without reporting an error; it does not establish that the recipient received the message. A provider event is another stage with its own meaning. Read the event and the diagnostic response instead of treating every green status as an inbox result.
| Stage | Useful evidence | What is still unproven |
|---|---|---|
| Browser submits | Validation and actual application response | That a notification was generated. |
| Application accepts | Configured entry record or processing result | That the expected notification was selected. |
| Notification is generated | Rule, recipient and transport result | That the remote system accepted it. |
| Provider handles mail | Message/event ID and acceptance or error details | That it reached the recipient inbox. |
| Recipient receives or filters | Mailbox, quarantine/rule evidence or trusted headers | That every form and recipient route works. |
| Staff replies | Reply reaches the controlled test sender | That follow-up works for all business conditions. |
Check sender identity and the supported mail connection
Use an appropriate business-controlled sender identity supported by the sending provider. A visitor's email address generally belongs in a suitable Reply-To field rather than being used to impersonate that visitor as the authenticated sender. Check the actual provider guidance and received identities; changing a label in the form does not configure domain authentication.
Review whether the configured mail service is authorized, the credential or integration is valid and the platform can reach the supported endpoint. Credentials should be scoped and managed through the application's appropriate configuration, not placed in page scripts or sent in an enquiry. Adding an SMTP plugin without confirming the transport, sender and provider result can leave the original fault unexplained.
Follow recipient handling when transport is working
If provider evidence shows the relevant handoff, inspect recipient address spelling, forwarding, mailbox rules, quarantine and spam placement with the authorized recipient owner. Compare a controlled message from the same website route rather than a staff mailbox that uses another platform. Record diagnostic codes and identifiers without exposing private message contents.
SPF, DKIM and DMARC can be relevant to the actual source, but authentication is not a delivery guarantee. Do not change every domain record because one form notification is missing. If the message is accepted and then placed in spam, use the dedicated spam-diagnosis guide to assess that stage rather than restart form validation troubleshooting.
Correct the identified stage and test the full journey
Record the original setting and the intended change, the owner and a rollback condition. Where practical, reproduce a configuration or component change in isolated staging with controlled recipients. Keep production and test credentials, webhooks and recipients distinct. Fix the demonstrated problem before adding unrelated DNS, plugin and mail-provider changes.
Run a fresh synthetic submission through the real page after the correction. Verify the expected form response, any intended stored record, the selected notification, provider handling, receipt and the reply destination. If a CRM or ticketing route is part of the promise, confirm that result too. A transport-only test email is useful but does not replace this full form journey.
Prevent silent enquiry loss and prepare a handover
Agree who notices a failure and what evidence is retained. An appropriate entry store or alert can support recovery where the application is configured for it, but retention and access must match the business need. Keep logs free of unnecessary customer content and secrets. Document recipient ownership so staff changes do not silently break lead handling.
